CHALLENGE

The Polcom Group is a supplier of high-class modular buildings and interiors for many hotel brands around the world. The Polcom Group has its own factory of steel structures located in Gdynia and a furniture and modular equipment factory in Chojnice.

Baseline engineers adapted and implemented the Electronic Document Circulation System, whose basic functionality was there is a central register of documents, and the tool itself strongly supports the automation of business processes, the circulation of incoming correspondence and optimizes documentation management. The managers responsible for selecting the software indicated flexibility, functionality, security and ergonomics of the system as its main requirements.

SOLUTION

In the first stage, Electronic Document and Cost Invoice Flow was implemented using the OCR mechanism accelerating the registration process of incoming letters.
In the second stage, the Baseline™ system was integrated with the internal ERP system. As part of the two-way integration, the systems communicate with each other in the field of contractor databases, export of cost invoices, import of orders, import of PZ and collection of payments to cost invoices.

The implementation of the Baseline™ system allowed the Polcom Group organization to improve the work of individual departments, coordinate the flow of information between organizational units in a dispersed structure, support in obtaining information on individual documents, payments and contractors, and optimize the effectiveness of information transfer between individual departments in the company.
